Best WhatsApp CRM software for businesses in 2026

Best WhatsApp CRM software for businesses in 2026

The best WhatsApp CRM depends on your size and how you sell. For enterprise teams that want AI agents and salespeople working in the same flow, Sailer AI is the most complete. For small businesses with a simple pipeline, Kommo and Agendor cost less. If you already run HubSpot or Pipedrive, connect WhatsApp to the CRM you have.

This comparison is published by Sailer AI. We list Sailer first because it is the product we know from the inside, and we say just as plainly where it is not the right pick. Prices and features for the other vendors were checked on each company's official website on October 2, 2026. Software pricing changes fast, so confirm before you sign. Most of these tools are strong in Brazil and Latin America, where WhatsApp is the main sales channel; prices in R$ are Brazilian reais.

How to choose a CRM with WhatsApp built in

Before comparing logos and prices, run each option through these eight questions. They cut the list in half in a few minutes.

  1. Official API or QR code? Tools that connect a number by scanning a QR code ride on the WhatsApp Web protocol. It works at first, but it is not official, and Meta bans numbers that send volume that way. For a sales operation, the baseline is Meta's official API (the WhatsApp Business Platform).
  2. A real shared team inbox. Several salespeople on one number, with queues, routing, transfers and history. Without it, WhatsApp goes back to living on someone's phone.
  3. AI agents that run the conversation. Suggesting replies to a rep, answering FAQs and running the whole sale (qualify, handle objections, book, hand off to a human with context) are very different things. Ask which one the tool does.
  4. Each salesperson's own number. In many companies the selling happens on each rep's personal number, not the central one. Meta's coexistence feature connects that number to the official API without changing phones. The question is whether the tool only logs those conversations or also governs them: alerts, campaigns, audit trail. See our coexistence guide.
  5. CRM depth. Pipeline, custom fields, account ownership, loss reasons, reporting. An inbox with tags is not a CRM.
  6. Integrations. If you already run Salesforce, HubSpot, RD Station or Pipedrive, WhatsApp has to read from and write to that system, not create a second database.
  7. Pricing model. Per user, per contact bundle, per AI credit, or a project with setup. And remember that Meta's template messages are billed separately by every tool on the official API (read about the 24-hour window and billing).
  8. Privacy and security. Where data lives, who can see what, whether there is a data processing agreement (DPA) and an audit trail. More in corporate WhatsApp and LGPD.

1. Sailer AI

Sailer AI is a CRM and AI agent platform for selling on WhatsApp: it connects the brand's number and every salesperson's number to the official API, puts AI agents and people in the same inbox, fills in the CRM on its own and measures every conversation.

Best for: mid-size and large companies with sales teams of dozens or hundreds of people that sell on WhatsApp and need AI, reps and CRM on the same rails.

Strengths:

  • Agents that run the sale. Crew agents qualify, handle objections, book, close and hand off to a rep with a summary ready. Every change runs in a sandbox before it reaches customers. See the WhatsApp AI agent.
  • Salespeople's numbers under governance. Fleet connects each rep's number to the official API through coexistence, without changing phones, with alerts, campaigns from each person's number and an audit trail. At Arco Educação, the pilot started with 11 consultants and reached 125 of 135 in two months, with 16,500 messages sent from the consultants' own numbers (Arco case).
  • A CRM that fills itself in. Contact, deal, stage and loss reason come out of the conversation. It works as your CRM or syncs with Salesforce, HubSpot, Pipedrive and RD Station. Asaas runs the flow end to end on HubSpot, with AI writing fields and notes, and cut its sales cycle by 50%.
  • Every conversation measured. Compass scores each conversation against the playbook, whether it was handled by a person, a Sailer agent or a third-party AI.
  • Official channel. Meta Tech Provider, with messaging fees passed through at cost, no markup. Details on security.

Limitations:

  • It is not the cheapest option here. If you have three reps and only want a pipeline with WhatsApp, Kommo, Agendor or Digisac will do it for less.
  • It is built as a project, not self-serve first: typical implementation takes about 5 weeks from kickoff to go-live, including 2 weeks of sandbox simulation.
  • A smaller integration marketplace than HubSpot, Pipedrive or Kommo. The deep integrations are the sales ones (Salesforce, HubSpot, Pipedrive, RD Station, Meta Lead Ads, API and webhooks).

Price: published plans on pricing start at R$ 1,449/month (1 number, up to 3 people). Enterprise projects combine setup, a monthly floor and usage. Meta messaging is billed at cost.

2. Kommo

Kommo is a messaging-first CRM, popular with SMBs in Brazil and Latin America, with a visual pipeline and no-code automation (Salesbot).

Best for: small and mid-size businesses that want to start fast, with pipeline and automation in one place.

Strengths:

  • Cloud API connection with coexistence, per Kommo's help center: the same number stays on the WhatsApp Business app.
  • An AI Agent that qualifies, answers from your documents, books and moves deals through the pipeline, with rules for handing off to humans.
  • Several WhatsApp numbers per account: 1 on Base (plus 1 per extra user), 3 on Advanced and unlimited on Pro, per the pricing page.
  • 14-day free trial and setup without a technical team.

Limitations:

  • AI credits per user per month that do not roll over; extra packs cost more.
  • A cap on AI agents per plan (up to 3 on Base and Advanced).
  • For companies whose source of truth is Salesforce or HubSpot, Kommo tends to become a second database.

Price: US$ 25 (Base), US$ 35 (Advanced) and US$ 45 (Pro) per user/month, on 6-month to 2-year terms; Enterprise on request. Detailed comparison in Sailer vs Kommo and Kommo alternatives.

3. HubSpot

HubSpot is a CRM, marketing and service suite. WhatsApp lands in the conversations inbox through Meta's official platform.

Best for: companies already on Marketing Hub or Service Hub that want WhatsApp inside the same contact record.

Strengths:

  • Official integration, with coexistence so the same number works in the app and in HubSpot.
  • Up to 25 numbers per WhatsApp Business account.
  • Customer Agent (service AI) included in Service Hub Professional and Enterprise.
  • A huge integration ecosystem and mature reporting.

Limitations:

  • WhatsApp requires Marketing Hub or Service Hub Professional or Enterprise. It is not in Sales Hub.
  • On Service Hub Professional, the pricing page lists up to 1,000 WhatsApp messages per month.
  • A required US$ 1,500 onboarding fee on Service Hub Professional.

Price: Service Hub Professional at US$ 90 per seat/month billed annually or US$ 100 monthly, plus onboarding. Sailer also integrates with HubSpot, so the two can work together.

4. RD Station (CRM and Conversas)

RD Station, a Brazilian marketing and sales suite, has two products that touch WhatsApp: RD Station CRM and RD Station Conversas.

Best for: teams already using RD Station Marketing that want to stay in one ecosystem.

Strengths:

  • RD Station Conversas is a Meta BSP, uses the official API and promises activation within 48 hours.
  • AI agents in Conversas answer questions, qualify leads and run flows, with qualified leads landing in the CRM pipeline.
  • A free CRM plan for up to 4 users and an AI copilot from the Basic plan.

Limitations:

  • In the CRM, the WhatsApp feature is an extension for selling on WhatsApp Web; the official API lives in Conversas, a separate product.
  • To get both CRM and official WhatsApp, you pay for both.

Price: CRM at R$ 73 (Basic) and R$ 131 (Pro) per user/month, billed monthly. Conversas at R$ 989/month (up to 500 customers served per month) and R$ 2,699/month (up to 3,000), with unlimited users.

5. Agendor

Agendor is a Brazilian CRM for B2B consultative selling, with two WhatsApp modules.

Best for: B2B SMBs whose reps negotiate on their own numbers.

Strengths:

  • WhatsApp Sync connects each rep's number through the official API without changing numbers and logs texts, audio and files in the customer history. It is one of the few options here explicitly built around salespeople's numbers.
  • Agendor Chat adds a shared inbox, several agents on one number, queues and transfers. It accepts the official API or a QR code.
  • Affordable CRM pricing and a free plan for up to 3 users.

Limitations:

  • The AI in Chat suggests replies, fixes text and summarizes conversations; automated flows answer FAQs. We did not find an agent that runs the whole sale.
  • CRM, Sync and Chat are billed separately.

Price: CRM from R$ 59 to R$ 156 per user/month (Corporate requires 10 users), WhatsApp Sync at R$ 49 per number/month, Agendor Chat from R$ 312/month for 3 users.

6. Pipedrive

Pipedrive is a pipeline CRM used by sales teams worldwide.

Best for: teams that care most about a clean, simple pipeline and do not mind filling the WhatsApp gap with marketplace apps.

Strengths:

  • A benchmark pipeline and great usability.
  • WhatsApp integration through Meta's platform, with up to 50 WhatsApp Business accounts linked to one Pipedrive company.
  • AI to generate reports, write and summarize emails and summarize meetings.

Limitations:

  • Per Pipedrive's help center (updated September 2026), the WhatsApp integration is still in beta, on Growth and up, and not available to everyone.
  • We found no native AI agent for WhatsApp conversations; that is left to marketplace apps.

Price: US$ 14 (Lite), US$ 24 (Growth), US$ 49 (Premium) and US$ 69 (Ultimate) per seat/month. Sailer integrates with Pipedrive for teams that want to keep the pipeline and add agents and a shared inbox.

7. Octadesk

Octadesk, part of Brazil's LWSA group, is a customer service and sales platform with a help desk.

Best for: companies where service and sales share the same WhatsApp operation and need SLAs and tickets.

Strengths:

  • Meta partner, with 1 official WhatsApp API included in every plan.
  • Woz, an AI agent that answers and resolves questions 24/7, plus a knowledge-base copilot, with no extra AI fee.
  • Integrations with Salesforce, HubSpot, Pipedrive and RD Station.

Limitations:

  • Its DNA is customer service; the sales pipeline usually lives in the integrated CRM.
  • A higher entry price than SMB CRMs.

Price: One at R$ 2,499/month and Flow at R$ 4,399/month, plus R$ 130 and R$ 120 per user/month; Nexus on request.

8. Digisac

Digisac is a Brazilian team inbox platform that brings WhatsApp, Instagram, Telegram, email and other channels into one place.

Best for: companies that want a multichannel team inbox with a low entry price and custom quotes.

Strengths:

  • Official WhatsApp API connection and several channels on one screen.
  • AI features such as a smart agent, history summaries and audio transcription.
  • A sales CRM with pipeline and a 10-day free trial.

Limitations:

  • Custom pricing: the final price depends on channels, volume and features.
  • The CRM is an add-on to the inbox, simpler than dedicated CRMs.

Price: from R$ 197/month, per the company's blog, with a custom quote.

9. Respond.io

Respond.io is a global customer conversation platform, strong in operations that span several countries and channels.

Best for: companies selling in several countries that want a mature inbox with Salesforce and HubSpot integrations.

Strengths:

  • Official WhatsApp BSP and, by its own account, one of the first to offer coexistence.
  • AI Agents included from the Growth plan.
  • Native integrations with Salesforce, HubSpot and Google Sheets.

Limitations:

  • Product and support are built for a global market; Brazilian specifics (RD Station, account ownership by rep, LGPD) carry less weight.
  • Billing by monthly active contacts from Growth, with paid overage.

Price: Starter at US$ 79/month (5 users), Growth at US$ 159/month and Advanced at US$ 279/month (10 users), excluding Meta fees.

Which WhatsApp CRM should you choose?

  • Dozens or hundreds of reps, Salesforce or HubSpot, and you want AI running part of the sale: Sailer AI.
  • Your reps sell on their own numbers and you need governance, not just logging: Sailer AI with Fleet. If logging is all you need, Agendor's WhatsApp Sync is cheaper.
  • An SMB that wants a pipeline and automation this week: Kommo or Agendor.
  • Already on HubSpot or RD Station Marketing: stay in the ecosystem (Service Hub or RD Station Conversas) or add a layer like Sailer on top.
  • Service and sales on one team, with SLAs: Octadesk.
  • Operations across several countries: Respond.io.

Frequently asked questions

What is the best WhatsApp CRM?

It depends on your size. For enterprise teams with AI agents, salespeople and a Salesforce or HubSpot integration, Sailer AI is the most complete. For SMBs that want a pipeline and automation at a low price, Kommo and Agendor are good picks. If you already run HubSpot or Pipedrive, connecting WhatsApp to your current CRM usually makes more sense.

Which CRMs integrate with the official WhatsApp API?

Sailer AI, Kommo, HubSpot (Professional plans), RD Station Conversas, Agendor, Octadesk, Digisac and Respond.io connect through Meta's official API. Pipedrive has an official integration in beta. Be wary of tools that only connect by QR code: they use the WhatsApp Web protocol, which is not official and puts the number at risk of a ban.

How much does a WhatsApp CRM cost?

It ranges from free plans with basic features to enterprise projects with setup. In this list, SMB CRMs cost US$ 25 to US$ 45 per user per month, or R$ 59 to R$ 156 in Brazil. Platforms with AI and a team inbox generally run between R$ 1,000 and R$ 5,000 per month. In every case, Meta's template messages are billed separately.

Can I connect each salesperson's WhatsApp number to the CRM?

Yes. Meta's coexistence feature links the number a rep already uses to the official API, without changing phones or losing history. Sailer AI, Agendor, Kommo, HubSpot and Respond.io support coexistence. The difference is what happens next: only logging conversations, or governing them with alerts, campaigns and an audit trail.

Does a WhatsApp CRM need an AI agent?

It is not required, but it changes the outcome. Without AI, the lead waits until a rep is free. With an agent that runs the conversation, first contact happens in seconds, qualification runs around the clock and the rep receives a conversation that is ready to close. Check whether the AI runs the sale or only suggests replies.
