WhatsApp sales copilot: AI for sales representatives and field sales teams

The sales rep is parked outside the customer's door. Before going in, they need to remember when the last visit was, what the customer asked for and what terms they can offer. The information exists, but it's in a CRM they don't open on their phone, or don't even have access to. After the visit, they need to fill out a form about what was agreed. If a process question comes up along the way, the answer comes through the support WhatsApp group, if it comes at all.

At many companies with a field sales force, especially those working with independent sales representatives, support works like this: a big WhatsApp group where questions get mixed together, or a form with a response time of a day or two. And most of the questions are the kind that could be solved on the spot with the right guidance: how to fill in a field, where to find a document, what the next step in a process is.

Meanwhile, the customer is waiting on the other side. And a rep who isn't quick sells for the competition.

What is a WhatsApp sales copilot

A sales copilot is an AI agent the salesperson talks to on WhatsApp, the way they would with an experienced colleague. It has access to the company's knowledge base (products, processes, policies) and to the CRM, reads and writes on the salesperson's behalf and knows when to bring in a person.

The difference from an agent that serves customers is the audience: the copilot serves your team. It doesn't replace the salesperson in the conversation with the customer. It prepares, supports and records.

A copilot along the whole route

MomentWhat the rep asksWhat the copilot does
Before the visit"Give me a briefing on this customer"Pulls the history and last contact from the CRM and suggests an approach
When in doubt"How do I fill in this field on the order?"Answers on the spot, by text or voice note, from the knowledge base
With the customer"Help me answer this objection"Suggests the argument and drafts the message
After the visitA voice note describing how it wentLogs the visit and next steps in the CRM on their behalf
A real problem"The system won't accept my order"Opens the ticket with the context already filled in and passes it to whoever can fix it
First login"It's my first day, where do I start?"Sends the guided step-by-step, with video, right there

In practice, a typical interaction takes less than a minute:

Rep (voice note, 9 seconds): "I'm pulling up to Mercado São Jorge, give me a briefing."

Copilot: "Customer for 3 years. On the last visit, they asked for terms to increase volume. I suggest opening with the new terms and confirming next month's delivery."

Rep (voice note, 16 seconds): "Closed the increase starting next month. I'll talk to him again on the 5th."

Copilot: "Logged in the CRM: today's visit, volume increase starting next month and follow-up on the 5th."

Illustrative example, with a fictional customer.

No system to open, no waiting for an answer, no form. And the CRM stays up to date.

Why WhatsApp, and not an app

  • Adoption without training. Reps already use WhatsApp all day. There's no new app to install, password to remember or screen to learn.
  • Voice notes. Someone who is driving or between visits doesn't type reports. They talk.
  • Access without a license. Many companies don't give independent sales representatives full CRM access, because of license costs or to avoid implying an employment relationship. The copilot works as a bridge: it reads and writes in the CRM with the permissions the company sets, without the rep needing a full user account.

The Bettania case, at Bett Brasil

Bett Brasil is the biggest education event of the year. Arco Educação brought 600 salespeople there. Each of them had to answer, in real time, questions about products, contracts, terms and the event itself, while serving schools at the booth.

Sailer created Bettania, Bett's AI, a WhatsApp copilot for the 600 salespeople. A salesperson could send "school X is coming to the booth, give me a briefing", and she would pull the information from Salesforce and put the summary together. After the conversation, "I set up a visit for next week, create the activity", and she would log it. When in doubt about whether a product could be sold under certain terms, she would check the knowledge base and answer.

At the closing happy hour, the team was chanting her name.

How to roll out a sales copilot

1. Start with the questions that already exist

The history of the support group and the forms is a gold mine. Export it, group the questions by topic and, in a few hours, you'll have the list of what the knowledge base needs to answer first. The 30 most frequent questions usually cover most of the volume.

2. Connect the CRM both ways

Reading the CRM makes the briefing possible. Writing to the CRM makes logging by voice note possible. The two together are what turn the copilot from a "smart FAQ" into a tool the salesperson uses every day.

3. Define the escalation path

The copilot needs to know what isn't its job. System problems, commercial exceptions and customer complaints go to a person, with the context already organized, so nobody has to ask everything again.

4. Give it a name

It sounds like a detail, but it isn't. A name gives it an identity, makes it easier to remember and turns the tool into someone people turn to. Bettania became a character inside the company.

5. Run a pilot by region

Pick a region with a concentration of salespeople, define the metrics and run it for two or three months. With the results in hand, expanding to all representatives, and then to the internal team, is a decision backed by numbers.

What to measure

  • Questions resolved without involving the team. The metric that shows the relief for support.
  • Response time. From days to seconds.
  • Visits logged in the CRM. These usually rise sharply once logging becomes a voice note.
  • Reps active on the copilot. The measure of adoption.

A copilot is usually the first step. With the team talking to the AI and the CRM being fed, opening up visibility into customer conversations, as we describe in the article on managing your sales team's WhatsApp, meets much less resistance.

Frequently asked questions

Does the copilot talk to the rep's customers?

No, unless you want it to. The copilot talks to the rep. The customer relationship stays with them.

Does it work with any CRM?

It works with CRMs that offer integrations, such as Salesforce, HubSpot, Pipedrive and RD Station, as well as in-house systems via API.

What if the copilot doesn't know the answer?

It says it doesn't know and routes the question to the right person, with context. A copilot that makes up answers is worse than none.

Can it be used with the internal team too?

Yes. The same copilot serves representatives and internal consultants, with different permissions for each group.
